SUMMARY

The payroll specialist is responsible for generating and dispersing multi-state payroll transactions including, bi-weekly and monthly processing, tracking payroll tax filings and reconciling payroll transactions. They're responsible for answering payroll questions for employees, processing expense reports related to travel, preparing garnishments, tax levies, child support, and subpoenas. They will also research and input all transaction types including W-4, direct deposit, payroll deductions, travel allowances, PTO, EFT, and bonuses.  Strong excel and troubleshooting skills are required.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Process bi-weekly, monthly, multi-state payroll for submission to payroll provider including preparation of FLSA OT calculations.
  • Perform payroll audits to ensure timely and accurate timesheet submissions
  • Monitor payroll emails daily and resolve employee questions as they relate to payroll
  • Process 401K loan and Dependent FSA payments
  • Create tax accounts, track and report tax notices received, submit to payroll provider and communicate completed tasks to the Finance Director
  • Reconcile quarterly 941 and annual W2 reporting
  • Identify and suggest process changes to help automate payroll entries, reconciliation, and/or enhance the accuracy of the overall process
  • Prepare month-end close entries such as payroll accruals, health insurance, and other payroll related entries
  • Reconcile cash accounts and payroll liability accounts
  • Other duties as needed

 

KNOWLEDGE, SKILLS and ABILITIES:

  • Strong knowledge of regulatory standards
  • Skilled with Microsoft Office Products
  • Detail oriented, organized and strong analytical skills required to meet strict deadlines

 

EDUCATION / QUALIFICATIONS:

  • 5 + years prior experience with payroll reporting including quarterly reports, taxes and W2’s required
  • Knowledge and previous experience with UltiPro highly preferred
  • Must have experience calculating multi state FLSA overtime and tax reporting
  • Must understand variable pay arrangements 
  • Prior payroll experience in a manufacturing or service provider based company preferred
  • Microsoft Excel skills to include use of formulas, VLOOKUP’s and pivot tables
