Payroll and Benefits Specialist


The Payroll and Benefits Specialist is responsible for providing high quality customer service and administrative support for payroll and benefits across the organization. The Payroll and Benefits Specialist will have several primary areas of responsibility, including data input and maintenance of the HR, time and attendance, payroll, and benefit system; payroll processing activities; administering benefit programs; and accurately reporting payroll and benefits data.

Responsibilities include but are not limited to:

Benefits Administration

  • Monitor the benefit enrollment process for New Hires and adjustments for employee deductions.
  • Work with Payroll Vendor and Benefit Vendors regarding Data Feeds and issues, both AD HOC and during Open Enrollment
  • Complete COBRA notifications/enrollments and work with Employees on Benefits Offboarding
  • Benefit Audits and Reconciliations – Reconcile payments of monthly benefit billings for multiple carriers.
  • Assist in preparation and validation of 1095-C reporting annually
  • Provide statistical data as needed
  • Serve as a contact for employee benefits inquiries

Payroll Administration

  • Participate in team processing of payroll for all U.S. Non-Exempt and Exempt employees on a semi-monthly basis.
  • Assist with coordinating time approval and pay for employees’ hours, including time off (PTO, STD, LOAs) programs for accurate pay and salary continuation.
  • Process status change forms related to wage changes; department changes; promotions; vacation and other payroll-related changes.
  • Ensure payroll compliance and identify and mitigate risks quickly
  • Provide statistical data as needed
  • Work with accounting department on the reconciliation of payroll liabilities, taxes, and deposits to the GL
  • Analyze timecards prior to processing payroll to identify discrepancies and work with employees and/or managers to resolve.
  • Complete Verification of Employment requests
  • Monthly/Quarterly/Semi-Annual/Annual audits and reporting as needed.
  • Year End reconciliations and reporting as required.
  • Serve as a contact for employee payroll inquiries.


  • At least 3-5 years payroll and/or benefit experience.
  • Benefits and Payroll system/software experience required, ADP Workforce Now software preferred.
  • Experience with tiered commission payments and compensation agreements required.
  • Understanding of Benefits Administration strongly preferred
  • Advanced proficiency in Excel required.
  • Accounting or finance degree preferred but not required.
  • Ability to manage confidential and sensitive data professionally and with integrity.
  • Strong problem-solving and analytical skills.
  • Solid project management skills with the proven ability to juggle multiple tasks at once.

Skills and Abilities Required to Perform Essential Job Functions:

  • Knowledge of payroll and accounting operations and procedures
  • Knowledge of federal, state and local taxes, payroll regulations and requirements for multi-state employer.
  • Flexibility to handle undocumented processes and frequent change
  • Continuously identify process improvements within the department, maximizing the technology systems that are available and recommends enhancements to current practices
  • Research and present implementation plans for automation efficiencies
